The short answer

Keep one approved record of your business facts and use it to maintain your website and legitimate public profiles. Distinguish a registered address from a customer location, state your real service area, and correct contradictory information. Consistency helps people check a business; it does not guarantee AI recommendations.

Build one approved business fact record

Different descriptions are not always contradictions. A legal company name can differ from its trading brand, and a registered office can differ from a customer-facing location. The problem begins when those distinctions disappear and people have to guess which information applies.

Create a short internal record before editing public pages. Include the approved value, its purpose, the person who can confirm it, and the places where it appears. Keep private customer information and credentials out of this record.

A business identity record to maintain
FieldWhat to recordImportant distinction
Business namePublic brand and relevant operating entityBrand versus legal identity
LocationAddress and its actual purposeRegistered office versus customer premises
Service areaPlaces genuinely served and any limitsCoverage versus a physical branch
AvailabilityOpening, appointment, or response arrangementsOffice hours versus guaranteed response time
ContactMonitored email, phone, or booking destinationA displayed route versus a working route

Use a review date internally. An unanswered question should remain unanswered until the appropriate person confirms it. Consistent invented facts are still invented facts.

Describe places and service areas accurately

Consider a fictional appliance repair business that visits customers but does not accept walk-ins. Its website should say that appointments take place at customer locations and explain the areas served. A registered office address, if published for company information, should not look like a repair counter.

Now imagine that the business occasionally accepts work outside its normal area after assessing travel time. “Available throughout the country” would overstate that arrangement. A more useful explanation would distinguish the standard service area from locations that require confirmation.

These details help a customer make the right enquiry. They also give anyone summarizing the business a clearer source. Do not add a city or neighbourhood solely because it is attractive commercially. Publish what the team can actually deliver.

For FoundUp, the address shown on the site is its operator's registered address. That fact should not be expanded into invented opening hours, a walk-in policy, or additional branches.

These fields are published on our About and Contact pages. This is a consistency example based on the site's public record, not an independent corporate-registry check. No phone number, founder biography, service hours or certification has been supplied for publication.

A blank field is preferable to an invented one. If your business later publishes opening hours or an approved professional credential, record the source and the scope of that fact before adding it to pages, profiles or structured data.

Separate an address from a service area

A registered address identifies the legal entity. It does not establish where customers can visit, which locations a business serves, or where deliveries are available. Publish those facts separately and only after the business confirms them.

Five different location and language facts
FieldWhat to recordHow to confirm it
Registered addressThe legal entity’s published registration addressUse the business’s approved company record; do not infer visiting hours.
Customer-facing locationA location where customers can actually attend, if applicableConfirm appointments, access and opening arrangements with the business.
Service areaThe areas in which the business accepts work, including exceptionsConfirm operational coverage and any travel or eligibility conditions.
Delivery areaWhere physical goods can be delivered, if applicableConfirm delivery policy; omit the field for businesses without delivery.
LanguagesThe languages available for the service, not just the websiteConfirm the team’s supported delivery and customer-contact arrangements.

FoundUp publishes a Singapore registered address and a public email. Its project-fit process asks about target markets and required languages; the registered address alone does not establish global coverage, Singapore-only service or customer visiting hours. The flower-shop delivery example elsewhere on this site is illustrative, not a FoundUp delivery policy.

Choose public profiles you can maintain

Profound's discussion of citation categories highlights that AI answers can draw from different kinds of sources, including owned and external pages. It does not establish that adding a business to any directory will produce a citation. Use source diversity as a reason to inspect relevant public information, not as a directory-volume target.

List the profiles customers actually encounter: a legitimate business listing, an industry association entry, a booking marketplace, or a professional directory appropriate to the business. Check that the profile represents the right entity and links to the intended website.

Prioritize sources by relevance, accuracy, and your ability to maintain them. Do not manufacture reviews, membership claims, media mentions, or duplicate listings. A useful external reference should reflect a real relationship or editorial decision.

Correct conflicts at their source

When two sources disagree, first decide which fact is currently correct. Then update the source you control and request a correction from the owner of the other source. Keep the request factual: identify the outdated detail, provide the correct public information, and include evidence appropriate to that platform.

  1. Save the conflicting URL and the date you observed it.
  2. Identify the exact field that differs, rather than labelling the whole profile wrong.
  3. Confirm the approved value with the business owner or responsible team member.
  4. Update owned pages and submit the necessary profile correction.
  5. Recheck the published result and record any source that remains unresolved.

A website update cannot directly change an independent directory. An accepted directory correction also does not guarantee that every search or AI answer updates immediately. Keep those outcomes separate in the record.

Make consistency part of normal operations

Tie updates to business changes. Moving premises, changing a phone number, adding a service, or adjusting appointment availability should trigger a website and profile review. The person making the operational change should know who maintains the public information.

Use a small change log: old value, approved new value, affected destinations, owner, and completion status. For seasonal hours, note when the temporary arrangement ends. Avoid turning a short-term exception into a permanent claim.

Finally, test the customer journey. Call or open the displayed contact route where appropriate, verify that the map or directions match the intended destination, and read the page as a new customer would. Cross-channel consistency matters only if the underlying information is useful and correct.

Connect this record to your service page writing process and website maintenance routine. It becomes a practical operating asset rather than a one-time SEO checklist.

Questions & answers

Is my registered address the same as my service location?

Not necessarily. Label a registered office as such. Do not invite customers to a location that cannot receive them, and do not imply a branch exists because you serve the surrounding area.

Should my business have a page for every neighbourhood?

Only when each page has a real purpose and accurate, distinct information. A single clear service-area section is often more useful than many pages with the place name swapped.

Should I create profiles on every directory?

Prioritize legitimate, relevant profiles you can maintain. An outdated directory listing can create more confusion than an additional listing resolves.
